Tips on Submitting Files

Choosing a method to submit files
Our customers have numerous options for submitting their files for printing. Choose the method that is right for you, while considering the factors for each method:

Comparison of File Submitting Methods:
Method Time required Total Size Limit Other Notes
On Disk Mail/Drive Time Virtually no limit Best way to send files larger than 500 MB
FTP Minutes-Hours 500 MB Easy to use on any Platform, open 24/7
Synapse Minutes-Hours 12 GB Requires Internet Explorer
Email Minutes-Hours 10MB Easiest way to send Digitally, open 24/7

Give your files recognizable names
We can begin work on your document sooner if they are given a name that is recognizable. For example: “companyname_brochure.zip” works better than “files.zip”.

Know the file size limits
There is a file size limit to every method for uploading a file to us digitally. Refer to the chart above for the limit that corresponds to the method you choose, and make sure the sum of the size of your files is not larger. This can save you possibly hours of wasted time, and maybe even save your files from being lost.

Compress your files
If you are submitting your files digitally, make sure they are all contained within a compressed archive file, like a .sit, .zip, or .rar file. This will ensure the smallest file size possible, quickest transfer possible, all without losing any of your content. More information on compression can be found here.

File name limit
Keep the name of each file to 20 characters or fewer, including the file extention. When we attempt to process a job that has files with names over 20 characters long, the process fails and we must fix the filenames and the links they have with the layout document. This can cause significant delays depending on the layout program used.

Include all links and fonts
Make sure to include all the linked files and font files used in the layout. When we receive jobs with missing links and/or fonts we have to request that those files be submitted, too. This can cause significant delays.

Include file extensions for all files
Be sure to include the file extention in the names for each and every file you submit (ie: name it “project.indd” and not “project”). Many files that lack a file extention are not immediately recognized by our computer. Fixing this can cause significan delays.

Notify us
When you have completed submitting files digitally, if you want to ensure we begin working with your files as soon as possible, call us to let us know that you have submitted files for us to download. Otherwise we will only become aware of them the next time we check our servers or email.
